I would suggest using another designation for the emitters using .mxi file format. Our IT dept clears out the .mxi files from time to time because (especially the multilight files) get so large. That would be OK but sometimes the emitter textures get thrown out and this prevents us from making new renders later

Sounds like you need to slap your IT guy around a bit.
You could get a portable hdd for soring your 3d related files.
