Where do I place the grass items from the knowledge base in the file system for use and how do I use them please?

I'm not sure which items you are referring to, but to create Maxwell Grass in the plugin:

• Create a plane and group it.
• Open the Maxwell Grass window (click "Maxwell Grass" in the Maxwell toolbar or menu).
• Select the group.
• Set Enabled to Yes in the Maxwell Grass window.

I see there are a couple of .zip files available in the Maxwell Grass documentation (here); if that is what you are referring to, they are MXM materials like any other, so you would unzip them somewhere and import them in the plugin as usual, then, if you look in the Maxwell Grass window in the plugin, you'll see under Primitive > Material where you can select the material to be used for the grass blades.
